Frequently Asked Questions

Q: What are grocery certificates/cards?
A: Certificates or cash cards issued by a local grocery store and used like cash to purchase groceries. $100 worth of certificates buys $100 worth of groceries [Details].

Q: Where can I purchase a concert recording (CD)?
A: Patrons can pre-order audio recordings at any concert which are delivered to rehearsal or mailed to an address within two weeks. Contact RoundAbout Recording for details.

Q: Can I use a camera at concerts?
A: Flash photography and videotaping are prohibited at all AYPO concerts. Non-flash photography is permitted. Professional photography and videography must be approved by AYPO.

Q: Are the concert venues accessible for persons with disabilities?
A: AYPO is committed to making every event accessible for persons with disabilities. Please call the AYPO office for more information on accessibility to our concert venues. Services offered vary from venue to venue and may require advance notice.


Current AYPO Members/Musicians

Q: When and where do the orchestras rehearse?
A: AYP (Philharmonic) and AYSE (String Ensemble) rehearse at Langley High School in McLean, Virginia. AYSO (Symphonic Orchestra) and AYCO (Concert Orchestra) rehearse at Kilmer Middle School in Vienna, Virginia.

Q: Where can I find a complete and updated season schedule?
A: The season schedule is posted on the AYPO website and updated regularly.

Q: What is the concert dress for musicians?
A: Visit the concert dress page for details.

Q: Is it required of all AYPO musicians to apply for the Chamber Ensemble Program?
A: No, it is not required. The Chamber Ensemble Program is an educational opportunity and optional for all members. Applications available in the Welcome email to members in August.

Q: If I apply for the Chamber Ensemble Program, will I need to audition?
A: No, chamber ensembles are formed based on instrumentation, orchestra, and placement within the orchestra. Applicants will be notified of acceptance in September.

Q: Which instruments can be in a chamber ensemble?
A: Chamber ensembles consist of many different instrumentations ranging from string trios to woodwind or brass quintets. Harpists should contact AYPO for details. Percussionists are not eliglible for the Chamber Ensemble Program because they will already be members of the Percussion Ensemble.

Q: Is it required of all AYPO musicians to apply for the Music Buddies Mentorship Program?
A: No, it is not required. The Music Buddies Mentorship Program is an educational opportunity and optional. Applications available in the Welcome email to members in August.

Q: Can parents go backstage at the concert venue?
A: Parents of performing musicians are not allowed in the restricted areas of a concert venue at any time, including the backstage area. Backstage access is limited to AYPO musicians, staff, volunteers (personnel managers and librarians), and guest artists.

Q: How do parents reserve advertising space at a discounted rate?

Q: How do parents and music teachers submit an ad in the final concert program for graduating seniors?
A: Please visit the advertising page for details.

Q: What if I forget to bring my member subscription tickets to a concert?
A: AYPO members who forget to bring member subscription tickets to a performance will be forgiven the first time and allowed to enter the concert. If tickets are forgotten a second time, the member will be asked to pay $5 per ticket. Please see the ticket policy page for details.


Auditions

Q: What is the application deadline?
A: The application deadline is April 10, 2013.

Q: When and where is the Round 1 audition?
A: Saturday, April 27, 2013, Kilmer Middle School [Schedule]

Q: I am a current AYSE or AYCO musician but want to try for AYSO or AYP. If I don’t pass the advanced level audition, will I have a chance to re-audition for AYSE or AYCO?
A: Yes, any current member of AYSE or AYCO will have the opportunity to re-audition for that orchestra, even if they make it to Round 2 but are not selected for an advanced level orchestra (AYSO and AYP). If this happens, applicants will be notified immediately of the opportunity to re-audition for the preparatory level.

Q: When will I receive my excerpts?

Q: Are the excerpts the same for Round 1 AND Round 2?
A: Yes! Excerpts are posted here.

Q: I am applying for the advanced level but if I'm not accepted and want to audition at the preparatory level, can I use the same advanced level excerpts?
A: (This answer only applies to strings musicians) If you try for the advanced level (AYSO and AYP) but do not pass Round 1, you will be mailed different excerpts to prepare for the preparatory level (AYSE and AYCO) at Round 2 in June. If you do pass Round 1 at the advanced level, then audition at Round 2 but are not selected, you will be notified immediately and given the opportunity to audition at the preparatory level within the following week and can play the advanced level excerpts again since it is a short period of time. Q: Can I play the same solo piece at Round 1 and Round 2 auditions?
A: Yes!

Q: If I play with AYPO in the current season but will be changing instruments for next season, am I considered a "New Applicant"?
A: Yes.

Q: Can I audition on two instruments?
A: Yes, but you will only be offered membership for one instrument, if qualified. The judges will place you according to your audition performance, as well as the needs of each orchestra.

Q: I want to only audition for AYCO. Can I specify this on my audition application?
A: No, you must audition for the preparatory level (AYSE and AYCO). The judges will place you according to your audition.

Q: I want to only audition for AYP. Can I specify this on my audition application?
A: No, you must audition for the advanced level (AYSO and AYP). The judges will place you according to your audition.

Q: I was a musician in AYPO during two (or more) seasons ago but not during the most recent season. Am I considered a “returning musician”?
A: No, you would be considered a “new applicant”. Only musicians who participated during the most recent season are considered “returning musicians”.

Q: I am auditioning at Round 1. Since it is a blind audition (behind a curtain), what do I do if I have a question for the judges or don't understand what they are asking of me?
A: Since it is not allowed for musicians to speak during Round 1 auditions, the musician should exit the room and ask the volunteer any questions or clarification. The volunteer will then communicate directly with the judges.

Q: When will I receive my audition results for Round 1?
A: Round 1 audition results will be emailed in May 2013.

Q: When will I receive my audition time for Round 2?
A: Round 2 audition schedule will be emailed in May 2013.

Q: When will I receive my audition results for Round 2?
A: Round 2 audition results will be emailed in July 2013.


Acceptances

Q: What is the acceptance deadline?
A: The acceptance deadline is August 10, 2013.

Q: How do I access the acceptance forms?
A: The acceptance forms are located in the Members section: http://www.aypo.org/members/acceptance-forms

Q: Why am I having trouble accessing the acceptance forms?
A #1: Make sure you are entering the username exactly as it appears in the email sent to you. In most cases it is the first letter of the musician's first name and then the entire last name.
A #2: Check the password given to you in the acceptance email.
A #3: If you are a returning member, the login information might be saved but has changed for this season. Logout of the browser (Firefox, Internet Explorer, etc.), clear the saved passwords (under the "tools" menu), and then try again.

Q: Why is there incorrect information auto-filled on the acceptance forms?
A: The information on the acceptance forms comes directly from the musician's original audition application. You can edit most information except for the orchestra, instrument, and position.

Q: What do I do after saving all of the forms?
A: After saving all required forms a large "Submit" button will appear on the side navigation column. Once pressing that button your forms will be submitted to the AYPO office and you cannot make any changes.

Q: What are the tuition costs?*
A: AYP $1200AYSO $1175AYCO $1125AYSE $975
Tuition includes two tickets to every regular season concert (value of $400). Free admission for siblings of AYPO musicians.

Q: How do I apply for a scholarship?
If you are interested in applying for a scholarship you must download the scholarship form, complete it, print out, and return to the AYPO office by August 10 along with 1) 2012 income tax return and schedules and 2) a written explanation of need. All scholarship applicants will need to make a $100 deposit through the required registration form entitled "Tuition".

Q: Do I need to submit a School Music Release Form?
A: If you indicate that you are not participating in your school music program, you must download the school music program form, complete it, print out, and return to the AYPO office by August 10 via mail or email.
